Prepare for a commercial roof assessment

Use this checklist when requesting a roof assessment for an office, warehouse, retail property, apartment community, or HOA-maintained building. The goal is to give your contractor useful history and give your team a clear basis for reviewing the proposed work.

1. Identify the property and decision-makers

  • Property address, building names or numbers, and the roof areas of concern.
  • Site contact, roof access instructions, tenant restrictions, and vendor onboarding requirements.
  • Who authorizes work, who needs the report, and any board meeting or budget deadline.

2. Gather available roof records

  • Approximate installation date and roof system, if known.
  • Previous proposals, repair invoices, roof plans, and condition photos.
  • Warranty documents, including notification and repair requirements.
  • Known additions, recover work, drainage changes, or rooftop equipment changes.

Missing records do not prevent an initial conversation. Mark unknown details as unknown rather than guessing.

3. Record the leak history

For each leak, note the building, room or unit, date, weather conditions, and previous repairs. Take interior photos from a safe location. Avoid accessing the roof yourself to collect information. Tell the contractor about areas where water could affect people, inventory, or operations.

4. Ask for findings tied to locations

A useful report connects roof photos to identifiable areas and distinguishes observed defects from suspected concealed problems. Ask which areas were accessible, which conditions need more investigation, and what the proposed repair is intended to correct.

5. Separate immediate work from future planning

  • Current concerns: active leaks, open details, and other issues identified for prompt attention.
  • Planned repairs: defined work that can be scheduled and budgeted.
  • Items to monitor: conditions to review again and what would trigger another assessment.
  • Capital planning: roof areas that may need broader restoration or replacement evaluation.

For multiple buildings, request priorities by building or roof section. A single total for the entire property can make it harder to understand what the budget accomplishes.

6. Compare complete scopes

Check removal, membrane, insulation, coverboard, flashing, drainage, weather protection, access, cleanup, exclusions, and concealed-condition pricing. Review how to compare commercial roofing proposals before selecting a scope.

Questions to bring to the review

  • What was observed, and what remains uncertain?
  • Can the affected area be repaired, and what would that leave unresolved?
  • Would roof coatings be suitable, or does the assembly need broader work?
  • What must happen before installation, and how will work affect occupants?
  • Which warranty terms apply to this exact scope?
